Update on Statewide Pre-Registration System and ‘Check the List’ Feature

The Virginia Department of Health has launched the statewide system for vaccine pre-registration and required that we participate in that system. 

With this system, they also launched the ‘Check the List’ feature, which allows individuals to search by their email address and phone number to confirm whether they are registered. We are aware that not all the data submitted by Loudoun County is appearing in the statewide system. Many individuals who submitted a Loudoun County pre-screening survey prior to 5:00 p.m. on February 12 are unable to find themselves in the ‘Check the List’ function.

  • Data migration is continuing throughout the week and it may take several days for your name to appear in the centralized system. Everyone who has previously submitted a pre-screening survey to Loudoun County is still on the list, and their status will not be affected.  
  • If you completed a pre-screening survey with Loudoun County prior to 5:00 p.m. on February 12, you do not need to complete a new pre-registration in the VDH system. 
We ask for your patience as VDH continues their data migration to get the site working at its full capability.

Appointment Scheduling Will Continue

While pre-registration has transferred to a statewide system, Loudoun County Health Department will continue to be responsible for appointment scheduling – both by email and by phone. We will continue to systematically work through our local waitlist of people who have signed up to receive vaccine before 5:00 p.m. on February 12. 

  • If you submitted an email address in your pre-screening survey, you will be contacted by email by the Loudoun County Health Department with instructions for scheduling a vaccine appointment. 
  • If you only submitted a phone number, you will be called to schedule an appointment over the phone. 

Loudoun County continues to vaccinate people with appointments six days a week. We are contacting individuals in the order pre-screening survey submissions were received for appointments, as vaccine supplies allow, and in accordance with a state-mandated allocation formula between priority groups. See the current priority groups in Phase 1a and Phase 1b. 

Scheduled Appointments and Second Doses

The change to the statewide system will not impact individuals who have already scheduled an appointment or who are waiting to receive a second dose. 

  • If you have already scheduled an appointment or are waiting to receive a second dose, you do not need to look for yourself on the statewide pre-registration list or submit a new pre-registration in the statewide system. 

  • Anyone who has scheduled an appointment through the Loudoun County Health Department should go to that appointment as scheduled. You should continue to follow instructions from the Loudoun County Health Department on completing your vaccine series.
