Refund Policy

If a participant wants to cancel, the participant or guardian may request a refund in accordance with the following: 

General Refund Policy (Most PRCS Programs)

If a customer requests a refund 15+ days prior to the start date or reservation date they shall receive a full refund. If a customer requests a refund 14 days or less prior to the start date, they shall receive a refund of 50% per item canceled. Pavilions and fields may be rescheduled in lieu of a refund. For pavilion rentals, reschedule requests can be submitted up to the day of the rental.

Refund requests shall be submitted in writing and include the name of the participant, and the activity number (for program refunds). Staff shall instruct the customer to submit a written request that is dated and submitted by email, fax, or mail to the site or program manager.

The refund request shall be processed based on the date of the customer’s original written request and the applicable refund policy. Refund requests for same day transactions should be processed by the facility or program manager, refunding in full to the original form of payment. 

Medical-related cancellation requests with a doctor’s note will receive a prorated refund minus days attended.

If a customer requests to cancel a pavilion reservation on the day of the rental due to inclement weather or unforeseen circumstances, the renter may reschedule an equivalent reservation without an additional fee.

Refunds for an outdoor pool rental are considered on a case-by-case basis.

Programs or Rentals That Require a Nonrefundable Deposit

Customers requesting a refund 15+ days prior to the start date or reservation date for programs or events that require a nonrefundable deposit at the time of registration shall receive a full refund minus the nonrefundable deposit. Customers requesting a refund 14 days or less prior to the start date shall receive a 50% refund minus the nonrefundable deposit.

Refund (minus the nonrefundable deposit) requests due to summer school enrollment do not require 15+ days' notice with proof of enrollment.

Visit The Lodge and Franklin Park Arts Center for specific rental polices.  

Tournament deposits are due at the time of booking which becomes nonrefundable upon receipt unless PRCS closes the fields. Balance is due 30 days prior to the event which is non-refundable unless PRCS closes the fields.

Trips

Senior Trips refunds shall be processed minus a 25% administrative fee for all trips if another participant can refill the trip slot. Slots not filled by another participant are not refunded. Customers may contact seniortrips@loudoun.gov for details. 

Community and Recreation Center Trips cancellations requested 15+ days prior to the trip will receive a 50% refund; cancellations requested 14 days or less before start date will not be refunded.

Passes & Memberships

Pass and Membership refund requests shall include a reason and are approved on a case-by-case basis by the facility manager.

The Department of Parks, Recreation and Community Services (PRCS) reserves the right to cancel or change a class or activity due to insufficient enrollment or other reasonable cause. If PRCS cancels a program or rental reservation, a full refund shall be processed by staff at the earliest opportunity.
